Each participant in a workflow fills a role. Before a workflow is created, roles are defined and a PMWeb user is assigned to each. Workflows are built by linking a series of roles. One user may occupy the same role across the portfolio or the user in a role can vary for each program and project or location. A PMWeb user may occupy a single role across the portfolio or can be assigned to multiple roles for each program and project.
Users Tree - his is a tree view of active users. Click on a user in the tree, drag it to the Roles table, and drop it on a role to assign the user to that role for the selected level. Or, click on a role in the table, check the box next to a user in the tree, then click the button to send the user to the table.
Lock Checkbox - If this box is checked and read-only it means that the role cannot be reassigned at the current level. If you are creating the role at the current level and check this box the role cannot be reassigned at a lower level.
Level Field - Read only. This field is assigned by PMWeb and is dependent on the current level when you create the role.
Role Field - Required. Use this field to edit the name of the role. If the Lock checkbox is checked and read only you cannot rename the role at the current level.
User Field - Required. Use this field to assign users to roles at the selected level. You can assign users to roles by either selecting a user from the dropdown list in this field when the line is in edit mode or by dragging a user from the tree on the left and dropping it on this field when the line is not in edit mode. If the Lock checkbox is checked and read only you cannot assign a user to the role at the current level. If you drop a user on a locked role this message is displayed: "Locked roles from a higher level cannot be edited."
Delegate Field - Read only. If a user assigned to one of the roles in the table has an active delegation, the user they delegated to will be displayed here.
