BPM Tab Define Steps Section

 
Use this section of the tab to build, edit, and refine all of the steps in the business process. Lines can be added to the table using two methods:
 
The business process defined in the table is evaluated in order from top to bottom. Lines can be dragged up or down in the table to change their evaluation order and, if you drop a line on a branch step, assign them to a branch sub-table.
 
Double click any line in the table to open a dialog in which the step's details can be viewed and edited. (Either the Define Branch Rule Dialog or the Define Role Step Dialog.

Roles Tab

1. Roles Tab
This tab displays all of the roles at the selected level. Drag a role and drop it on the Step table to add a line at the bottom of the table.

Branch Rules Tab

2. Branch Rules Tab
This tab displays all of the APM branch rules that are associated with the record type(s) selected in the Associated With field in the BPM Tab Header Fields. Drag a branch rule and drop it on the Steps table to add a line at the bottom of the table.
 
To create a branch rule for the selected level, right click on a record type folder and select "Add Branch Rule" from the flyout menu.
 
To edit or delete a branch rule for the selected level, right click on a branch rule in the tree and select from the flyout menu.

Use this button to create a new approver step line in the table instead of using the drag & drop method described above.

Use this button to create a new branch step line in the table instead of using the drag & drop method described above.

Delete Button

Clicking this button opens a confirmation dialog:
 
 
If you click the OK button the dialog closes and all selected lines will be permanently deleted from the table. Note that this also includes all lines in all branch sub-tables for selected lines. This cannot be undone.

Expands or collapses the branch sub-table for the line

# Field

The evaluation order of the lines in the table. This field can be indirectly edited by dragging the line up or down in the table and dropping it. If you drop a line on a branch line it is automatically added the to branch's sub-table and a decimal is added to this field.

Type Field

Read only. The icon indicates that the line is a role step and that the role is locked (can't be reassigned at this level). The icon indicates the line is a role step and that the role can be reassigned at this level. The icon indicates that the line is a branch rule step.

Description Field

Read only. The description of the role or branch rule in the line. An asterisk (*) after the description indicates a branch rule with the "Repeat" option selected (see Define Branch Rule Dialog).

Level Field

Read only. This field indicates whether the role was defined at the System, Program, or Project level.

Action Field

12. Action Field
Read only. This field lists the workflow action that will take place if the step is successfully concluded.
 
For role steps the possible actions are:
  • Next Step - If this step is approved the record will move to the inbox of the roles on the next role step or the branch rule on the next branch step will be evaluated
  • Final Approve - If this step is approved the Status field of the record will be changed to "Approved" and the workflow will end
 
For branch rule steps the possible actions are:
  • Branch - If the rule evaluates to true the record will move to the inbox of the roles on the next step role in the branch sub-table or the branch rule in the next branch step in the branch sub-table will be evaluated
  • Final Approve - If the rule evaluates to true the Status field of the record will be changed to "Approved" and the workflow will end
  • Reject - If the rule evaluates to true the Status field of the record will be changed to "Rejected" and the workflow will end
  • Return - If the rule evaluates to true the record will be returned to the inbox of the roles of a role step. Which role step it is returned to is determined in the configuration of the step (see Define Branch Rule Dialog).

Return To Field

Read only. If "Return" is one of the possible actions for the step, the role it will be returned to is shown here.

Delegate Checkbox

Read only. For role steps, if the "Allow Delegating" option is selected in the Define Role Step Dialog this field is checked.
