Files Lookup Dialog

 
Use this dialog to find a Document Manager file and then double click it to add it as an attachment to the current record.

PROJECT/LOCATION DROPDOWN

1. PROJECT/LOCATION DROPDOWN
Select one or more projects or locations from the dropdown list. Folders and sub-folders for the selected projects and locations will appear in the tree below.

The folders and sub-folders for all of the projects and locations selected in the Project/Location Dropdown appear in this tree as well as the shared folders. The number in parentheses after the folder name indicates the number of files in the folder. Click a folder to select it and display its contents in the table. The selected folder is highlighted.

SEARCH FIELDS

Use the text box search for files within the selected folder. Activate the switch if you wish to apply the search to text within files as well.

  • Upload File Button - Clicking this button opens a dialog you can use to upload files to the current Document Manager folder.
  • Save Button - Saves files that are checked in the files table as attachments to the current record without closing the Files Lookup dialog.
  • Save & Exit Button - Saves files that are checked in the files table as attachments to the current record and closes the Files Lookup dialog.
  • Preview Button - Select a file and then click this button to show a thumbnail version.
  • Show Latest Versions Only Button - This is a toggle button. If you click it only the highest version number of each file will be displayed in the table. Click again to view all versions.

All fields in the table are read only. This table displays the files in the folder selected in the tree. Double click a line in the table to close the dialog and add it as the attachment to the current record. Checked out files have a gray background.
